
Position: Executive Assistant
Summary: Film Life Inc., is a marketing, event production and film distribution company. The company is presently looking for an Administrative Assistant to provide support to the company's CEO and Sr. Director of Programming and Planning for the American Black Film Festival.
Job Status: Full time
Location: NYC/NJ
Work Schedule: Monday - Friday. Hours: 9:00 am - 6:30 pm
Salary: Commensurate with experience
Responsibilities:
- Perform general administrative duties such as answering phones, faxing, filing and writing memos.
- Act as "air traffic control" for executives' calendar appointments, conference calls, meetings etc.
- Arrange travel both internationally and domestically
- Participate in coordinating company sponsored activities and affiliated events
- Maintain and update confidential files, contact lists and databases
- Strengthen relationships with clients and their staff
- Check and manage executive email accounts
- Run errands and manage personal matters for CEO as requested
- Manage updates to corporate communications - including website, press materials and social networking accounts
- Maintain library on articles relating to the film and entertainment industry
Qualifications:
- Bachelor's degree in business administration, communications, cinema studies, English or a related field
- Minimum of 2 years experience of as an Executive Assistant. Entertainment or media fields
- Highly organized with the ability to handle numerous tasks simultaneously with close attention to detail, occasionally under stressful situations, time limitations, and frequent interruptions
- Outstanding listening as well as written, verbal and interpersonal communication skills. Excellent telephone manner
- Comprehensive knowledge of Micro Office software and proficiency in Excel, Word, PowerPoint and Outlook
- Proficiency with MS Windows 7 and MAC based operating systems
- Strong orientation to social media platforms including Face book and Twitter
- Proven analytical and problem-solving skills
- Ability to thrive a close-knit, team oriented environment
- Must be very familiar with NYC (geographically, culturally and socially)
